How can AI triage a service business inbox?

Updated September 27, 2026

Short answer

Connected to Fieldproxy, ChatGPT, Claude or Copilot can run the built-in triage_my_inbox workflow: search the connected inbox, read threads, sort messages by what they need (a job, a quote, a reply) and draft replies inside the original thread. Replies are sent only after you confirm, from your own mailbox.

What to ask

  • "Triage my inbox."
  • "What did Northwind say about the Site 14 visit?"
  • "Reply that we can come Thursday morning."
  • "Follow up in 3 days if they do not reply."

How it works

The workflow uses search_inbox and read_email_thread, then draft_email with the thread to reply in place, and set_email_followup for reminders. Email goes only from the signed-in user's mailbox, at most 20 sends an hour per key, inside quiet hours.

Anything that changes data or sends a message is shown to you first and happens only after you confirm; writes can be undone, and every call is logged.
