Project Management for Field Service

Project management for field service: one project, every visit, billed as you go.

Turn an accepted estimate into a project with phases, child jobs and a Gantt. Change orders go to an approver, billing runs on deposits, milestones and retainage, and budget vs actual is on the same page. Set up to the way you run installs and multi-visit work, live within a day.

Estimate to project

The accepted estimate becomes the project.

No re-keying. The estimate's lines, prices and customer carry into the project, split into the phases you use, each one a job your crews can be scheduled on.

One click from estimate to project

The approved estimate turns into a project with its phases, budget and billing schedule already filled in.

Phases as real jobs

Every phase is a child job: it sits on the schedule, goes to a technician's phone and is closed out like any other job.

Start from a template

Save a project shape you repeat, such as a rooftop unit replacement or a re-roof, and start the next one from it.

Gantt with dependencies

Drag one phase. The rest of the plan follows.

Phases are linked, so a delay moves everything that depends on it, and the child jobs move on the schedule with them. Changed your mind? Undo puts it all back.

Dependencies between phases

Electrical tie-in waits for the units to be set. Move the lift and the tie-in moves too.

Drag, then Undo

Drag a bar to a new date. If it was the wrong call, one click puts every phase back where it was.

On the schedule, not beside it

Child jobs show on the dispatch board with the rest of the day's work, so a project never double-books a crew.

Change orders

Change orders, approved before they are billed.

Add a change order to the project with its lines and price. Over the threshold you set, for example $5,000, it waits for an approver before it changes the budget or the billing.

A threshold you choose

Small changes go straight through. Larger ones go to the person who approves them, with the before and after.

Customer sign-off

Send the change order to the customer to approve and sign, the same way as an estimate.

Budget updates itself

Once approved, the change order is added to the project value and the billing schedule.

Progress billing and job costing

Deposit, milestones, retainage, and the margin as you go.

Bill the project the way your contracts are written, and see what it has cost against what it was sold for while there is still time to act.

Deposit and milestone invoices

A deposit up front, then an invoice as each milestone is reached, from the project's billing schedule.

Retainage held and released

Hold a percentage back on each invoice and release it at the end, with the amount held always visible.

Budget vs actual

Labour from timesheets, materials and expenses against the budget, with margin per project.

Permits and inspections

A checklist on the project for permits, inspections and sign-offs, so nothing is missed before close-out.

In the field

Technicians know which project they are on.

On the technician app, a child job shows the project it belongs to and where it sits in the plan, for example Part of project P-1002, job 2 of 5.

Project context on the phone

The tech sees the project, the phase and what came before, without calling the office.

Photos and forms roll up

Photos, forms and signatures from every visit land on the project, ready for the close-out pack.

Built for multi-visit trades

Roofing, electrical, HVAC installs, fence, painting and facilities work run the same way.

Questions

Straight answers.

What is field service project management software?

Field service project management software runs work that takes more than one visit: installs, replacements and multi-phase jobs. In Fieldproxy a project holds its phases as child jobs on the schedule, a Gantt with dependencies, change orders, a billing schedule and budget vs actual, all set up to how your business runs.

Can I bill a deposit, milestones and retainage?

Yes. Each project has a billing schedule: a deposit, invoices as milestones are reached, and a retainage percentage held back on each invoice and released at the end. The amount held is always visible on the project.

Do change orders need approval?

You choose. Set a threshold, for example $5,000, and any change order above it waits for an approver before it changes the project value or the billing. Customers can approve and sign change orders by link, the same way as an estimate.

What happens to the schedule when a phase slips?

Phases are linked by dependencies. Drag a phase on the Gantt and the phases that depend on it move too, along with their jobs on the schedule. One click undoes the move.

Can I turn an estimate into a project?

Yes. An accepted estimate becomes a project in one click, with its lines, prices and customer carried over, so the budget and billing schedule start from what was sold.

Which trades use projects?

Any trade with multi-visit work: roofing, electrical, HVAC installs and replacements, fence, painting and facilities contractors. Projects sit in the same system as service calls and maintenance, so one schedule covers all of it.
