Leaving spreadsheets
Switching from spreadsheets to field service software: what to pick
Pick field service software that can take your spreadsheet columns as they are, gives technicians an offline mobile app, and turns a finished job into an invoice without re-typing. For a 5 to 50 person team, that usually means a field service platform rather than a CRM or a generic project tool. Fieldproxy is an AI-native platform that imports your customer, site and equipment sheets and sets up job stages and forms to match how you work today.

Spreadsheets got you here. The goal is to keep what works about them and lose the re-typing.

The signs
Signs the spreadsheet has stopped working
You probably need software if
- Two people edited the schedule and one version won
- Technicians text photos that never reach the job record
- Jobs get finished but not invoiced
- Maintenance visits are due and nobody noticed
- Customers call to ask when the technician is coming
- Only one person knows how the sheet works
Keep from the spreadsheet
- Your column names and the way you describe a job
- Your price list
- Your customer and site history
- Your own checklists and forms
- The flexibility to add a field when you need it
The options
The four routes off a spreadsheet
| Route | Setup effort | Fits your process? | Good for |
|---|---|---|---|
| Spreadsheet plus a forms app | Low | Yes, but nothing is connected | Very small teams buying time |
| Template FSM (for example Jobber, Housecall Pro) | Low, self-serve | You adapt to the template | Small residential teams with a standard flow |
| Configurable FSM (Fieldproxy) | Guided setup, we build it with you | Yes, stages, forms and statuses are yours | 5 to 50 person teams with their own way of working |
| Enterprise FSM (for example ServiceTitan) | High, an implementation project | Partly, through configuration | Large contractors with a back office |
What to look for
Five questions to ask any vendor
Will you import my sheets as they are?
You should not have to clean every column first. Ask the vendor to do the import, and to show your own data in the demo.
Does the technician app work offline?
Basements, rooftops and rural sites lose signal. Photos, checklists and signatures should save and sync later.
Can I add a field without a developer?
Your sheet grew a new column every month. The software has to keep up the same way.
Does a finished job become an invoice?
The point is to stop re-typing. Look for invoices from completed jobs, payment links, and a QuickBooks or Xero sync.
How is it priced as I hire?
Per-user pricing means every new technician raises the bill. Fieldproxy is priced per organization with unlimited users.
How switching works
How switching to Fieldproxy works
We move your data over and set the system up to the way you already work. Fieldproxy replaces the old tool; it does not run alongside it.
- 1
Show us how you work
Walk us through a normal job, from the first call to the paid invoice. Bring the forms, price list and spreadsheets you actually use. - 2
We build the demo on your workflow
Before you commit, we set up your stages, job forms, checklists and statuses, so the demo shows your business instead of a template. - 3
We move your data over
Customers, sites, equipment, open jobs, recurring contracts and price lists come across from your spreadsheets and exports. Nobody re-keys them. - 4
Your team goes live
Technicians get the Android or iOS app, the office gets the dispatch board, and the old tool is switched off. Fieldproxy replaces it rather than syncing with it.
FAQ
Questions people ask
- When should a field service business stop using spreadsheets?
- When jobs fall through the cracks: double-booked technicians, finished work that never gets invoiced, missed maintenance visits, or only one person who understands the sheet. For most teams that happens somewhere between 5 and 10 people.
- How hard is it to move from Excel or Google Sheets to field service software?
- With Fieldproxy, we import your customer, site, equipment and job sheets as part of setup and map them to your own fields, so nobody re-keys data. You can also hand a spreadsheet to ChatGPT or Claude through Fieldproxy's MCP server and it previews every row before importing.
- Is a CRM enough instead of field service software?
- Usually not. A CRM tracks sales, but field work needs scheduling, dispatch, a technician app, checklists, photos, signatures and invoicing tied to the job. Fieldproxy integrates with HubSpot if you already use it for sales.
- What does field service software cost for a small team?
- Published plans from vendors like Jobber and Housecall Pro start low and rise with users and features. Fieldproxy is priced per organization with unlimited users; the pricing page explains how.
- Can I keep my own checklists and forms?
- Yes. In Fieldproxy, your checklists, forms, job stages and statuses are set up to match the ones you use today.
